How do I use NFC devices for time tracking?
Add NFC devices, assign them to users or activities, and scan to start tracking
This article is for: Admin, Account owner (device setup); Standard user (scanning)
NFC transponders and NFC stickers allow users to start time tracking by scanning with a mobile phone or a hardware terminal. You can assign each NFC device to a user, an activity, or a project. When a user scans the device, the assigned activity starts automatically.

Types of NFC devices
TimeTac supports two types of NFC devices:
- NFC sticker – a small adhesive tag that you can place on a wall, desk, or piece of equipment. Users scan the sticker with their mobile phone to start tracking.
- NFC transponder – a physical card or key fob. Users scan the transponder at a TimeTac hardware terminal to clock in or out.
Add an NFC device
You can add an NFC device via the web app (by entering the serial number) or via the mobile app (by scanning the device directly).
Via the web app
- Navigate to Company > NFC in the side menu.
- Click Add device.
- Enter the Serial number or Unique ID printed on the device.
- Click Save.
Via the mobile app
- Open the TimeTac mobile app.
- Navigate to NFC.
- Tap Add device.
- Hold the NFC device near your phone to scan it.
- The device is added automatically.
Assign an NFC device
After adding a device, assign it to a user, an activity, or a project.
Follow these steps
- Navigate to Company > NFC.
- Select the device you want to configure.
- Assign a User, Activity, or Project.
- Click Save.
Tip: Assigning an NFC sticker to a project is useful when you place it at a specific work location. Any user who scans it will start tracking time on that project.
Scan an NFC device to start tracking
Users scan an NFC device to start or stop time tracking.
- Mobile: Hold the NFC sticker near your phone. The TimeTac app must be installed. The assigned activity starts automatically.
- Terminal: Hold the NFC transponder near the TimeTac hardware terminal to clock in or out.
Note: If the NFC device is assigned to a project, the user will be asked to select an activity within that project before tracking starts.
Delete an NFC device
Follow these steps
- Navigate to Company > NFC.
- Select the device you want to remove.
- Click Delete.
Warning: Deleting an NFC device does not delete any time entries that were recorded with it.
