How do I set up geolocations?

Link activities to physical addresses for location-based time tracking

Geolocations connect an activity to a physical address with a defined radius. You'll find them in TimeTac under My Company > Geolocations. Once a geolocation is linked to one or more activities, those activities are associated with that location for tracking purposes.

Add a geolocation

Each geolocation needs a name, a centre point on the map, a radius, and at least one linked activity.

Follow these steps

  1. Navigate to My Company > Geolocations.
  2. Click Add geolocation.
  3. Set the centre point of the geolocation. You have two options:

    Option 1: Type an address in the search field and pick a suggestion. The map automatically centres on that location.
    Option 2: Drag the map until the location you want is under the marker in the middle.
  4. Drag the edge of the circle to adjust the radius.
  5. Enter a Name for the geolocation (for example, "Office Graz").
  6. In the Activities field, select one or more activities to link to this location.
  7. Optional: Turn on Send request to management if time entry is stopped outside geolocation if you want managers to receive a notification when someone stops a time entry away from the linked location.
  8. Click Save.

Tip: Start typing in the address search to use autocomplete. Picking a suggestion centres the map and resolves the address automatically.

Link a geolocation to an activity

You can also link an existing geolocation directly to an activity, instead of selecting activities while creating the geolocation. This works the same way for general activities and for activities inside a project.

Follow these steps

  1. Open the activity:
    • For a general activity, navigate to Activities & projects > General activities.
    • For a project activity, navigate to Activities & projects > Projects and open the project.
  2. Click Add activity to create a new one, or click an existing activity row to edit it.
  3. In the Geolocations field, select one or more geolocations to link.
  4. Click Save.

Info: The geolocation must already exist before you can link it from an activity. Add it from My Company > Geolocations first.

Edit a geolocation

You can update the name, location, radius, linked activities, or the management notification at any time.

Follow these steps

  1. Navigate to My Company > Geolocations.
  2. Open the actions menu (•••) on the geolocation row and select Edit.
  3. Change any of the fields.
  4. Click Save.
