How do I view absence analytics?

Analyse trends, entitlements and absence periods

This article is for: Standard user, Manager, Admin, Account owner

Absence analyses give you an overview of absences in your team, remaining entitlements, and patterns over time. You'll find the section in TimeTac under Analytics > Absences.

 

Info: The data you see depends on your role: standard users see their own absences, managers see their assigned team, and admins and account owners see all users.

Open absence analytics

The analysis loads with the current year as the default period and all users visible to you.

Follow these steps:

  1. Open the sidebar and expand Analytics.
  2. Click Absences.

Filter analytics

Use the filter bar at the top of the page to narrow down the view.

Follow these steps:

  1. Click the date filter to select a preset or define a custom period.
  2. Click All users to include or exclude users you have permission to view.
  3. Click All absence types to focus on specific absence types — for example, only annual leave or only sick leave.

Read cards and tables

The page combines a summary area at the top with two breakdown tables below.

Vacation and Overview

The Vacation card shows two values: the current remaining entitlement with its expiry date, and the number of open requests. The Overview card visualises absences across the selected period — switch between the History and Entitlement tabs to see how the balance has developed or how the entitlement is made up.

"Entitlement" table

This table shows leave entitlements per user with columns for Carry-over, Entitlement, Used, Approved, Requested, and Remaining. Use Group by user to change the grouping, and switch between Detailed and Compact to adjust the level of detail.

Absence intervals

This table lists absences within the selected period, showing user, department, absence type, date, and duration. Switch between the Interval and Single days tabs to display either consecutive absence periods or individual absence days.

 

Tip: To see all team absences at a glance without metrics or entitlement data, the absence report is enough — it shows absences in a calendar-style overview. Learn more: How do I access the absence report?
