How do I pin favourite activities and projects?
See your most-used activities first whenever you track time
This article is for: Standard user, Manager, Project manager, Admin, Account owner
This feature is available in: Web app, Desktop app
With favourites, you pin the activities and projects you work on most so they appear at the top of every activity list. You pin them under Activities & projects, and they show up first in Quicktrack and in the calendar.
What do the favourite icons mean?
Each activity and project has a favourite icon (star) that shows its status. The icon appears when you move your mouse over a row and stays visible once the row is a favourite. There are three states:
- Filled star: you pinned this activity or project directly
- Outlined star: the activity is a favourite because you pinned its project
- No star or an empty star: the activity or project isn't a favourite
Info: Favourites are personal. Every user pins their own, and when a manager tracks time for another user, the activity list shows no favourites.
Pin activities and projects as favourites
You can pin a general activity, a whole project or a single activity within a project. Pinning a project makes all its activities favourites, including activities added later.
After you pin a favourite, the notification Activity pinned as favourite or Project pinned as favourite appears. You also see a notification when you remove a favourite.
Pin a general activity
Follow these steps:
- In the sidebar, go to Activities & projects > General activities.
- Move your mouse over the activity.
- Click the favourite icon (star) next to the activity name.
Pin a whole project
Follow these steps:
- In the sidebar, go to Activities & projects > Projects.
- Open the project.
- Click the favourite icon (star) next to the project name at the top of the page. Alternatively you can also pin a project directly in the project list.
Info: Activities of a pinned project show an outlined star. Click an outlined star to pin that activity directly as well, and it changes to a filled star.
Pin a single project activity
Follow these steps:
- In the sidebar, go to Activities & projects > Projects and open the project.
- Open the Activities tab.
- Move your mouse over the activity and click its favourite icon (star).
Remove a favourite
Click the filled star again to remove a favourite.
Info: When you unpin a project, the outlined stars disappear. Activities you pinned directly keep their filled star and stay in your favourites.
Where do your favourites appear?
Your favourites appear first in Quicktrack in the web app and desktop app. They're also listed first when you add a time entry in the calendar. Favourites aren't available in the mobile app yet. The activity list is sorted like this:
- Favourites: activities you pinned directly, in one block at the very top, each with its project name
- Favourites by project: activities from pinned projects, grouped by project
- All other activities: in the usual order below
The search in these lists also finds favourites by their project name. If the running activity is a favourite, Quicktrack shows its star too. There's no separate favourites filter.
You can't pin or remove favourites here – that only works under Activities & projects.
Why can't I pin some activities or projects?
You only see a favourite icon on rows you can track time on. The icon is missing in these cases:
- You aren't a member of the project: this also applies to admins
- The activity or project is archived: archived items are also removed from your favourites automatically
- You don't have the matching seat: general activities need a Time & Attendance seat, projects need a Project Time Tracking seat.
When you lose access to a project or activity, TimeTac removes it from your favourites.
You now know how to pin favourite activities and projects in TimeTac.
