How do I manage leave entitlements?

Configure leave entitlement, intervals, and remaining leave in the user profile

Configure each user’s leave entitlement in their profile under the Absences tab. There you set the interval, the number of leave days, and the initial remaining leave.

Configure leave entitlement

Define how many leave days a user is entitled to per interval. The interval determines whether the entitlement is calculated monthly or yearly.

Follow these steps

  1. Navigate to Company > Users in the side menu.
  2. Click on the desired user to open their profile.
  3. Open the Absences tab.
  4. Scroll to the Leave Management section.
  5. Select the Interval:
    • Monthly: The entitlement is calculated per month.
    • Yearly: The entitlement is calculated per year.
  6. Enter the number of Leave days per interval.
  7. If needed, enter the Initial remaining leave (for example days carried over from a previous system).
  8. Set the Valid from date, from which the entitlement is calculated.
  9. Click Save.

Tip: Assign a public holiday calendar first, before configuring the leave entitlement. Public holidays affect the calculation of available leave.

View current balance

In the Leave Management section, a summary card shows the current and next interval period. There you can see the available remaining leave, usage, and requested days.

  • Current interval: Shows the running period with start and end date.
  • Next interval: Shows the projected calculation for the next period.
  • Carried over: Remaining leave carried over from the previous interval.
  • Used: Leave days already taken in the current interval.
  • Requested: Leave days that have been requested but not yet approved.

Adjust leave entitlement manually

Adjust the leave entitlement manually when needed, for example for special approvals or corrections.

Follow these steps

  1. Open the Absences tab in the user’s profile.
  2. In the Leave Management section, click Add or deduct entitlement.
  3. Enter the Duration. Use positive values to add and negative values to deduct.
  4. Select the Valid from date.
  5. Optionally add a Comment to document the change.
  6. Click Save.

Info: All manual adjustments are stored in the entitlement history. This allows you to track changes at any time.
