How do I set annual working hours for a user?
Define the total number of working hours per year in a user's profile
This article is for: Admin, Account owner
In some countries and industries, employment contracts define a total number of working hours per year rather than weekly hours. In TimeTac, you can enter this value in a user's profile. The annual working hours and the corresponding annual balance are then displayed as columns in the Timesheet Report.

Set annual working hours
Enter the annual working hours in the user's employment settings. You must also enter a valid-from date so that TimeTac knows when the value takes effect.
Follow these steps
- Navigate to Company > Users in the side menu.
- Click on the user whose annual working hours you want to set.
- Open the Employment tab.
- Enter the number of hours in the Annual working hours field.
- Enter a Valid from date.
- Click Save.
Tip: The annual working hours do not interfere with other configurations such as work schedules or overtime policies. They serve as a separate reference value.
View the annual working hours history
Every time you change the annual working hours value, TimeTac stores a history entry. This allows you to track changes over time.
Follow these steps
- Navigate to Company > Users and select the user.
- Open the Employment tab.
- Below the Annual working hours field, you can see the history table with all previous values and their valid-from dates.
Tip: You can also view the change in the user's change history for a complete audit trail.
Annual working hours in the Timesheet Report
Once annual working hours are set, two additional columns appear in the Timesheet Report:
- Annual working hours – the configured total for the year
- Annual balance – the remaining hours based on tracked time
These columns help you monitor whether a user is on track to meet their contractually agreed hours.
You have successfully set annual working hours for a user.
