How do I configure absence settings?

Set up email notifications and rules for absence requests

In the account settings, you define who receives email notifications for absence requests. You also determine whether requests are possible with a negative balance and whether comp time can only be requested in full days.

Configure email notifications

Define which events trigger email notifications. These settings are located under Settings > Notifications > Absence request.

Follow these steps

  1. Navigate to Settings in the side menu.
  2. Open the Notifications section.
  3. Scroll to the Absence request area.
  4. Enable or disable the desired notifications.
  5. Click Save.

The following notifications are available:

  • Annual leave requests: The responsible manager receives an email for new absence requests.
  • Comp time requests: The responsible manager receives an email for new comp time requests.
  • Other absence requests: The responsible manager receives an email for new requests for other absences and sick leave.
  • Processed request: The requestor receives an email when their request has been approved or rejected.
  • Cancellation by user: The manager receives an email when a user deletes an approved request.
  • Cancellation by manager: The affected user receives an email when the manager cancels an approved request.

Tip: Enable the Processed request notification so that users are promptly informed about the decision on their request.

Set up rules for absence requests

Under Settings > Time Tracking > Absences, you set up rules that determine which requests can be submitted under certain conditions.

Follow these steps

  1. Navigate to Settings in the side menu.
  2. Open the Time Tracking section.
  3. Scroll to the Absences area.
  4. Configure the desired rules.
  5. Click Save.

The following rules are available:

  • Absence requests with negative balance: Define whether users can request annual leave when their leave entitlement or working time balance is negative.
  • Comp time with negative balance: Define whether users can request comp time when their working time balance is negative.
  • Comp time in full days only: Enable this option if comp time may only be requested as a full day (no half days or hours).

Warning: If you do not allow requests with a negative balance, users cannot add an absence once their leave entitlement is used up. Make sure that leave entitlements are configured correctly.
