How do I set up a project?

Add activities, manage members, and configure project settings

Once a project exists, you can add activities to it, assign members, and configure how time spent on the project is billed. Open a project from Activities & projects > Projects by clicking on its row. The project view has three tabs: Activities, Members, and Settings.

Add an activity to a project

A project activity is based on a general activity. The general activity defines the type (paid working, paid non-working, or unpaid non-working) and shows in the Based on column of the project's activity list.

Follow these steps

  1. Open the project from Activities & projects > Projects.
  2. On the Activities tab, click Add activity.
  3. Enter a name and pick a colour.
  4. Select the general activity to base this project activity on.
  5. Optional: link one or more geolocations to the activity.
  6. Click Save.

Tip: Press N on the keyboard to open the Add activity dialog from the project view.

Manage project members

The Members tab shows the project lead and everyone assigned to the project. Each member's account-level role (Standard, Admin, Account owner) is shown alongside their name.

Follow these steps

  1. Open the project and switch to the Members tab.
  2. Click Edit members to add or remove members.
  3. To remove a single member, open the actions menu (•••) on the member row and select Remove.
  4. Use the actions menu (•••) on the project lead card to change the project lead.

Configure project rates

Rates power the internal cost and external revenue figures in reports. You choose how rates are defined for the project.

Follow these steps

  1. Open the project and switch to the Settings tab.
  2. In the Rates section, pick one of the three options:
    • Disable rate calculation — activities have no rate fields. Cost and revenue are not calculated.
    • Per activity — set an hourly rate per activity (for example, Activity A: €130/h, Activity B: €95/h). Recommended when rates vary by activity.
    • Per person — set hourly rates per person in their profile (for example, Senior: €150/h, Junior: €80/h). Recommended when rates vary by person.
 

Info: The Actions section at the bottom of the Settings tab lets you archive the project and its activities.
